POSITION OVERVIEW
Crossroads is seeking an Administrative Event Planner to support The Department of Navy Assistant for Administration (DON/AA) Programs and Integration Division (PID). PID supports the Navy Secretariat by managing key programs, administrative processes, authorized charitable campaigns, and Secretariat events. Events include: Charitable Campaigns (Combined Federal Campaign, Toys for Tots, Feds Feed Families, and Navy & Marine Corps Relief Society), DoD ceremonies, Secretary of the Navy award ceremonies, military retirements, Secretariat Orientation Seminars, off-sites, static displays, and SES large and small group breakfasts and luncheons.

Event Planning and Protocol Support
The Administrative Event Planner shall be responsible for entire event planning and protocol support, from start to finish, involving all logistics, protocol and consideration of policy-related matters.
Administrative Event Planner shall create and maintain a plan for every event requirement in accordance with DON/AA guidance.-Review event requests and work with customers to finalize details.
-Consult with customers on policy and protocol related to hosting events.
-Determine if the proper venue is a commercial facility or a government owned. If commercial, then the contractor shall identify three venues that best meet the event requirements and represent the best value to the government. If Government owned, then the contractor will reserve a venue that best meets the event requirements.
-Draft a statement of work and other documents to support the Government’s Request for Quote from three vendors.
-Conduct event registration and guest RSVP tracking through an online system and with internal PID tracking tools.
-Produce rough drafts of event materials such as ceremonial programs, invitations, e-invitations, schedules, descriptions, and visitor information about the surrounding area.
Event Execution
-The Event Planner shall be on site to support event execution. Communication with DON/AA PID is essential to success during event execution. Tasks may include but are not limited to, proper placement of flags, chairs, podiums and other stage items, readiness of AV/IT assets for presentations, and general monitoring of event progress to either rectify a problem or arrange for additional or different support for speakers and participants.
-Establish and operate a registration table for events requiring registration or check-in, providing name tags, agendas, and other participant information as deemed necessary.
-Coordinate and direct venue services, AV/IT staffs, lighting, staging and related tasks ensuring sufficient preparation and execution of the event. These tasks include, but are not limited to, microphone and podium placement, screen projections, flag placement, chair set-up, remote conferencing, catering and related items.
-Coordinates with AV/IT personnel to ensure AV/IT support is functioning properly.
-Coordinate and provide escort services for guests as required.
-Provide usher services to ensure guests are seated in their proper seat.
-Distribute event programs when applicable.
Event Assessment
Administrative Event Planner shall collect evaluation information during and after the event to provide data to the Government for analysis to include but not limited to the following tasks:
-Utilizing an internal lesson learned matrix, gather information during all phases of an event to capture information that will assist the government in analyzing event procedures, coordination and execution. Submit the draft form for the government review and approval no later than (5) working days after the event.
-Submit the final lessons matrix to the government no later than (5) days after the draft document is approved by the government.
-Prepare generic surveys, disseminate the surveys to the charities that participate in DON/AA Charity Fairs and collect the data from the surveys participants in order to capture how the Government can conduct these events in a more efficient and effective manner.
-The Administrative Event Planner shall provide the deliverables even if needed in less than listed in Section 4.
Qualifications
-High School Diploma
-Be proficient in the use of Microsoft Word, Excel, Power Point, Publisher and Outlook.
-Must be able to interface with top Navy Leadership (SES and Flag Officers) in coordinating events.
