Job Title: Executive Assistant to the Director
Organization: National Institute of Nursing Research (NINR), Office of the Director
Location: National Institutes of Health (NIH), Department of Health and Human Services (HHS)

Overview:

The Executive Assistant will provide high-level administrative support to the NINR Deputy Director and serve as a backup to the Executive Assistant for the Director. This role is critical to ensuring smooth office operations, effective calendar management, meeting coordination, document control, and communication within the Office of the Director.

Key Responsibilities:

  • Administrative Support: Manage the Deputy Director’s calendar, schedule meetings, and coordinate travel arrangements.
  • Document Control: Review, edit, and format memorandums and other documents for grammar and accuracy.
  • Meeting Coordination: Organize meetings, prepare agendas, and provide follow-up.
  • Communication: Disseminate memorandums and updates to staff, respond to inquiries, and act as a liaison for the Deputy Director.
  • Travel Coordination: Arrange and submit travel plans in the NIH travel system.
  • Procurement: Process purchase requests, including meeting registrations and supplies.
  • Reporting: Prepare regular reports and assist with preparing presentations and other communication materials.
  • Front Office Duties: Cover the front desk, take messages, and assist with general office duties such as filing and note-taking.

Qualifications:

  • Education: Bachelor’s degree preferred.
  • Experience: Minimum of four (4) years of related administrative experience, with preference given to candidates with experience in a scientific research or federal agency environment.
  • Skills:
    • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams) and virtual platforms (e.g., Zoom).
    • Strong written and verbal communication skills.
    • Excellent organizational and time management abilities.
    • Ability to work independently and as part of a team.
    • High attention to detail, especially in document preparation and review.
    • Ability to handle confidential and time-sensitive material.

Preferred Qualifications:

  • Experience working in a large federal agency or scientific research environment.
  • Familiarity with NIH's organizational structure and processes.
